How to Declutter Insurance Files

Step 1: Gather and Sort

Before diving headfirst into the decluttering process, gather all your insurance documents in one place. This includes policies, correspondence, claims, and receipts. Once you have everything at hand, sort them into categories based on the type of insurance (e.g., health, auto, home, life) and subcategories if needed (e.g., multiple vehicles, different properties).

Step 2: Assess Necessity

Not every document you’ve accumulated over the years is worth holding on to. Review each category and subcategory, identifying documents that are no longer relevant. Old policies, expired warranties, and outdated contact information can be safely discarded. Remember to shred sensitive information to protect your privacy.

Step 3: Digital Transformation

Digitizing your insurance documents can significantly reduce clutter. Invest in a scanner or use smartphone apps designed for document scanning. I like Evernote. Create folders on your computer or cloud storage to organize digital copies. Ensure each digital file is properly labeled for easy retrieval.

Digital files can be organized into folders with clear, descriptive names. Consider using a consistent naming convention, such as “Type-Year-Provider.”

Step 5: Backup Regularly

Digital files are susceptible to loss due to hardware failure or accidents. Implement a robust backup system to ensure your insurance documents are safe. Cloud storage solutions like Google Drive, Dropbox, or OneDrive can automatically sync your files across devices.

Step 8: Set Reminders

Reassess your coverage needs and make adjustments as necessary. This practice ensures that you’re always up-to-date and adequately protected.

3.Work within a time of day that you have the most energy and stamina.

4.Avoid thinking too long about whether to keep or discard an item. Recruit help if you are stuck in the decision process. 

5.Avoid cleaning during your declutter. Getting rid of the clutter is your priority. Cleaning can be accomplished later.

How to Declutter Insurance Files: We are working in the home office this week. Your task today for today, February 12th is to: Declutter any insurance files that are older than 7 years. According to the IRS, you should maintain and keep the last seven years of your tax records if you have insurance claims with losses for which you got a tax break.

Bonus tip: One of my favorite tips for how to declutter insurance files is to go digital. Scan all your paper files all with your smart phone into my favorite “paperless” phone app – Evernote. Even if you plan to keep some important documents, this a great way to keep those items stored digitally in case of a fire or natural disaster.
